Role Overview
Reporting to the Managers of Quality Assurance, this position supports the entire Quality Assurance organization (D320/321/322) by managing critical departmental resources and handling all related administrative functions.
The role requires a self-starter with excellent communication skills, a positive attitude, a strong sense of teamwork, and dedication to making the process work. A high degree of professionalism is essential, along with the ability to communicate clearly and concisely, prioritize tasks, and manage multiple responsibilities effectively.

- Management of departmental training needs, including assignment and registration
- Maintaining departmental records, including organizing, filing, and archiving
- Communicating department management delegation information and maintaining records
- Generating document copies and scans, and maintaining the Printer Area, including sufficient stock of consumables and tools
- Pick-up, sort and distribution of department mail
- Interface with various levels of management
- Cross-training of office functions will be expected to ensure full coverage of responsibilities
- Monitor NDT training using PQS and correspond with Supervision through written and oral communications regarding
- Employee qualifications
- Past due training requirements

- Track Jaeger Vision Tests
- Ensures vision tests are updated in CSOD
- Distributes NDT Quals due list to Supervisors
- Ensures completions are recorded correctly
- Prints/distributes or emails reports required for meetings to Supervisors and General Foremen. (Dispatch, agendas etc.)
- Support business systems data entry as needed (e.g. SAPIP, Delay Logs etc)
- Coordination of facility and IT needs related to major moves
- Distribute and track the return of various read and sign materials
- Maintain and update department records and files for hourly and salary personnel
- Communicate with security when asked for employee security information, DOD paperwork, briefings, etc.
- Coordinate shuttle requests and visit requests with security for traveling personnel
- Process disbursement vouchers for briefings, retirement luncheons, etc.
